• Chatbot messages (Riley, William, etc.)

• Cookie and analytics data

No financial documents are collected through VLAI.

3. How Long We Retain Data

a. Chatbot Conversations

• Retained for up to 12 months

• Used to improve chatbot accuracy and user experience

b. Loan Prequalification Inputs

• Retained for up to 18 months

• Used for internal analytics, user support, and service optimization

c. Contact Form Submissions

• Retained for up to 12 months

d. Email Correspondence

• Retained for up to 12 months

• Deleted earlier upon request

e. Analytics & Cookies

• Retained according to browser and analytics provider settings

• Typically up to 26 months, unless deleted by user

4. Purpose of Retention

We retain data to:

• Improve the accuracy of calculators

• Enhance chatbot responses

• Track service performance

• Conduct internal analytics

• Support customer service requests

• Maintain operational and compliance documentation

We do not use retained data for marketing without user consent.

All data is stored using secure hosting solutions with:

• Secure networks

• Regular system audits

We do not store credit reports, bank statements, or sensitive financial documents.

6. Data Deletion Requests

Users have the right to request deletion of their data at any time.

To request deletion:

We will:

• Verify the request

• Delete all associated data

• Confirm deletion within 10 business days

This includes:

• Chat logs

• Calculator inputs

• Contact form submissions

• Email records

7. Automatic Deletion

We automatically delete:

• Chatbot logs after 12 months

• Calculation records after 18 months

• Contact forms and emails after 12 months

Backups containing old data are overwritten automatically.

 

8. Exceptions to Deletion

We may retain limited data only when required by:

• Applicable law

• Fraud prevention

• System integrity or security audits

No user financial calculations are stored under "legal retention" categories.

 

9. Third-Party Data Handling

If third-party services (such as analytics or hosting providers) retain data, they do so according to their policies.
VLAI ensures all partners meet reasonable privacy and security standards.

We may update this policy periodically.
